What the agent was given
Nine lines of brief
Organisation — Lumen AI Academy
What the team does — We run corporate AI training programmes for banks, hospitals and government
Modules — Board, Decisions, Costs, Pipeline, Chat, Notes, Team
Team — Ines Varela (Head of Delivery) · Marcus Oyelaran (Lead Facilitator) · Hana Sadeghi (Curriculum Designer) · Tom Brennan (Client Partner) · Yuki Tanabe (Learning Operations) · Ruth Ellery (Managing Director, view)
Colour — #5B4BE8 · Currency — £ · Budget — 260,000
More detail — Work goes scoping, curriculum build, materials review, scheduled, delivered, feedback closed. Nothing is "done" until feedback is closed. Our MD wants budget used and weighted pipeline. Our real problem is decisions sitting unanswered for weeks.
What changed
The same app, speaking their language
The tabs start out called Board, Costs and Pipeline. Nobody typed the replacements — one line, "we run corporate AI training programmes", is what produced them.
Board became
Programme delivery
Scoping → Curriculum build → Materials review → Scheduled → Delivered → Feedback closed
Costs became
Programme costs
Facilitator fees · Venue · Platform licences · Materials · Travel
Pipeline became
Client pipeline
Enquiry → Scoping call → Proposal sent → Contracting → Won, weighted by stage
Because they said so
Decisions & blockers
Every open decision, who it's waiting on, and how many days it's been sitting there
Try it — this is the real app
Everything below works. Add a board item, drag a card, click a day on the schedule, approve a cost then undo it, send a message with an @ mention. Switch As to Casey Fontaine and it all becomes read-only, because that is what her access says. Nothing is one-way and nothing is faked.
This is the starting point everyone gets. What your brief changes is the names, the columns and what is already in it — see above.
The same seven modules, a different job
A legal department ticks the same boxes and gets Matters, not Programmes. Intake → Conflicts → Advice → Filed → Closed. Disbursements instead of Programme costs. A limitation-date tile on the dashboard nobody asked for, because that's the thing that ends careers.

Four fields and a button
You can be done in ninety seconds. The optional box is where it gets good.
1
Say what your team doesOne line. "We run corporate AI training programmes." "We're the in-house legal team at a housebuilder." This is the field that matters most — it decides your columns, your cost categories and what every tab is called.
2
Tick what you want in itEight modules. Take some off — a workspace with three things people use beats one with eight they ignore, and you can turn the rest on later inside the app. Need something that isn't listed? Describe it in the optional box and it gets built as its own tab.
3
List your peopleName and role, one per line. Put , view after anyone who should read but not change things — a client, a director, a sponsor. That's enforced, not decorative: they can search and export, but every button that changes something is gone.
4
Open the optional box if you care about the detailThis is where a good workspace becomes yours. Tell it the actual stages your work goes through, in order. The numbers your boss asks for. Your deadlines and what you call them. Real items to pre-load so nobody opens an empty app on Monday.
5
Click around, then deploy itOpen it full screen and add a real item first. Anything you'd change, say it in one line — "call the last column Signed off", "drop the pipeline, add approvals" — and it rebuilds. When it's right, hit Deploy and you get a link, kept in My Deployments.
Deployed vs downloaded
Same app either way. The difference is whether changes stick.
Deployed
Lives at aibasepro.com/w/… Everyone on the link sees the same data. Edits save automatically and refresh for other people within about fifteen seconds. This is the one you want for a team.
Downloaded
One HTML file you own outright. Opens with no internet and no account. Changes live in that browser tab only — good for a personal tracker or a starting point you host yourself.
You can deploy up to five workspaces on PRO Subscription. Downloads are unlimited.
Questions people actually ask
Can my team edit it at the same time?
Yes — hit Deploy and everyone on the link works on the same data. Changes save as they happen. If two people change the same thing at the same moment the last save wins, so it suits coordinating work rather than heavy simultaneous editing.
Do the people I share it with need an account?
No. They open a link. That's the point — the director or client who'd never install another tool will still click a link.
What if I want it to look different later?
The workspace has its own Customise tab. Turn modules on and off, change the colour, rename any tab, set the budget — no need to come back here and regenerate.
What if someone approves something by mistake?
Nothing in it is one-way. An approved or rejected cost can go back to pending, a resolved decision can be reopened, and someone who flagged a session as needing cover can put it back to scheduled. Every change is named in the activity feed, so you can see who did what.
Can I get the data out?
Three ways. Every table has a CSV export. Save a copy in the header downloads the whole workspace as it stands into one HTML file that opens with no internet and no account. And a deployed workspace can always be downloaded again later. Nothing is locked in.
Should I put confidential information in it?
Treat it like a shared document, not a records system. It's excellent for coordinating work. It isn't the place for client personal data, medical records or anything you'd need an audit trail for.
The one tip that changes the output: in the optional box, write the stages your work really goes through — the words your team says out loud in a Monday meeting. Not "in progress" and "done". That single sentence is the difference between a template and something that feels like it was built for you.
